Administrative Services for Apartments and Buildings in Bangalore

Every building needs someone who runs it: who knows which pump is due for service, which vendor owes a callback, which resident complaint is still open and when the fire NOC expires. Reshma Facilities Management provides that person and the team around them.

Administrative staff we provide

Role
What they do

Facility Manager

Runs the whole site, reports to the committee, owns budgets, vendors and compliance

Assistant Facility Manager

Supports the FM on larger sites, covers shifts and blocks

Site Supervisor

Daily supervision of housekeeping, gardening and technical staff

Helpdesk Executive

Logs resident complaints, assigns them, follows up until closed

Front Desk / Reception

Visitors, deliveries, move-ins and move-outs, clubhouse bookings

Accounts / Admin Executive

Maintenance collection records, vendor bills, petty cash, documentation [CONFIRM]

Smaller buildings usually need one supervisor. Larger communities need a facility manager with a helpdesk. We size the team to the building, not the other way round.

What administrative services cover

Complaint management. Every resident complaint is logged with a date, assigned to a person and tracked until it is closed. The committee sees the open and closed count every month.

Vendor coordination. Lift AMC, DG service, pest control, water tanker suppliers, lab testing. The facility manager schedules them, checks the work and signs off before bills are passed.

Staff management. Attendance, shift rosters, leave cover and daily task sheets for every person on site.

Records and compliance. AMC contracts, service reports, licence expiry dates, plant room logs and statutory registers kept in one place, ready for an inspection or an AGM.

Move-in and move-out. Scheduling, lift protection, security checks and damage inspection.

Reporting to the committee. A monthly report covering complaints, expenses against budget, work completed, upcoming renewals and anything that needs a decision.

Why it matters

Most problems in an apartment are coordination problems. The plumber came but nobody checked. The lift AMC lapsed because nobody tracked the date. A resident complained three times and got three different answers.

A good facility manager fixes that by keeping one list, one calendar and one set of records, and by being the person the committee can call.

Cost of administrative services

Cost depends on which roles you need, how many shifts they cover and the size of the site. A single site supervisor costs far less than a full facility manager with helpdesk and front desk staff.

Frequently asked questions

Buildings above about 150 flats, or with a clubhouse, STP, WTP and multiple vendors, usually do. Smaller buildings can run with a site supervisor.

The facility manager can track dues and issue reminders. Collection and banking stay with the association treasurer unless the committee decides otherwise.

Yes. They present the monthly report and take action points.
